How to export an attachment list in batch from QuickBooks Desktop

Overview

Many businesses who use QuickBooks Desktop need to be able to get a report of what files have been attached to Customer, Vendor, or Item records or what files have been attached to transaction records like invoices, checks, bills, journal entries etc.  This is important because:
  • They need to keep a record of business transactions and documentation for audit purposes
  • They might need to share documentation for strategic partnerships of joint ventures
  • If they switch to QuickBooks Online or another accounting package, they need to be able convert that data and maintain historical records. 
If you need to export a list of attachments from your QuickBooks desktop file and include the location of the attached file along with the reference number for the transaction that it was linked to then Zed Axis v2024 and up now has that feature available.

Steps to export a list of attachments from QuickBooks Desktop


  1. Open Zed Axis and connect to your QuickBooks Desktop company file
  2. Click on the Export tab and then select the type as Attachment list
  3. Choose to filter for a date range from and to when the attachments were created and whether to filter for just Transactions, Lists or Unattached files
  4. Click Get and review the results in the preview pane
  5. Finally you can save the results to an Excel file format
