Import inventory transfers into QuickBooks

You can import inventory transfers in QuickBooks (Enterprise 11 and up) from text files or Excel spreadsheets into QuickBooks (Enterprise 11 and up) using Zed Axis:

  1. Download and install the Zed Axis software on your computer
  2. Open your QuickBooks company file as Administrator and open Zed Axis
  3. Select your text file or spreadsheet which contains the inventory transfers that you want to import.
  4. Set up the a Mapping of the columns in your inventory transfer import file to the corresponding fields in QuickBooks, as shown below
  5. Click Import and your inventory transfers will be directly added to your QuickBooks company file.

 ItemRef  Str  Full name of the item being transferred
QuantityToTransfer Quan Mandatory Quantity being transferred
SerialNumber Str 4095 Serial number of the items being transferred, serial numbers must already exist in QuickBooks. (separate multiple serial numbers with commas ie 344589940456,7889098755) more here
LotNumber Str 40 Lot number of the items being transferred more here


Troubleshooting common errors:

Error: You must assign a location to every line item with an inventory or assembly item.  This error occurs because the fields for FromInventorySiteLocation or ToInventorySiteLocation have not been mapped or the location is not found, QuickBooks requires these fields for an Inventory transfer if site and bin location tracking are switched on in the Inventory preferences.

Bins are named as InventorySiteLocations but they may not yet be implemented in the QuickBooks API yet so it may not appear

OK Bins have been added and are now importing in to QuickBooks Enterprise 18
